Unfinished Inquiry Checklist

Not every inquiry that starts gets finished. A prospect opens a form, fills in half the fields, and closes the tab. Another qualifies on a call but never receives the booking link. These are not lost prospects. They are unfinished ones, and most service businesses have no system for finding them, let alone bringing them back. The first step is to define the possible unfinished states and assign each one an owner, a next action, and a close condition.

Possible Unfinished States

  • Form started, not submitted
  • Form submitted, no appointment booked
  • Qualified lead, no booking selected
  • Manual review pending by staff
  • Missing required information
  • Appointment cancelled
  • No-show recorded
  • Reschedule required
  • Staff follow-up due

For Each State, Define Five Things

Every unfinished state needs a clear operational definition so nothing is left to memory:

  • Owner: A named person responsible for the next action.
  • Next action: The specific step that moves the inquiry forward.
  • Timing: When the next action should happen.
  • Fallback: What happens if the owner cannot act.
  • Close condition: When the inquiry is considered resolved or closed.

Make Unfinished Inquiries Visible

The reason most unfinished inquiries are forgotten is that they are invisible. They exist in an inbox, a browser session, or a sticky note, not in a shared system. The fix is to capture every unfinished state in the CRM with a visible status and owner, so the whole team can see what is open and who is responsible.

Recovery Is Not Chasing

Recovering an unfinished inquiry is not the same as chasing a prospect. Recovery is a single, gentle, context-aware message that references what the prospect started and offers a low-effort way to resume. It is bounded by a close condition so it never becomes spam. The goal is to give the prospect an easy path back, not to wear them down.

Close the Loop

Every unfinished inquiry should eventually reach a clear outcome: booked, declined, unqualified, or closed. An inquiry that stays in an unfinished state forever is a sign that the close condition is missing. Define when an inquiry is done, and log the outcome so the team has an accurate picture of the pipeline.
